This Privacy Policy explains how we collect, hold, use and disclose personal information, and how you can access and correct your information or make a privacy complaint. These are key topics that privacy policies are expected to cover under the Australian Privacy Principles.

1) What is “personal information”?

“Personal information” is information or an opinion about an identified individual, or an individual who is reasonably identifiable. This can include names, contact details, delivery addresses, and in some cases images (for example, where a person is identifiable in a photo).

2) What personal information we collect and hold

We may collect and hold personal information such as:

  • Identity and contact details: name, email, phone number, business name, role/title.
  • Order and account details: order contents, job references, invoices, payment status, communications with us, support/complaint records.
  • Delivery details: shipping address, pickup/delivery preferences, Authority to Leave selection, and carrier tracking information.
  • Images and production files: photographs, design files, crop instructions, and related metadata needed to produce your order.
  • Volume photography processing data (where applicable): subject data supplied by a photographer/school/club (e.g., names/IDs/class/grouping data) to match portraits with subject records.
  • Customer Originals intake details: notes you provide (and we may record) about customer-supplied originals submitted for scanning/mounting/framing (e.g., condition notes).
  • Website/technical data: IP address, device/browser details, pages visited, cookies and analytics data (see section 10).

Sensitive information: We do not generally seek to collect sensitive information (as defined in the Privacy Act). If we ever need it for a specific service, we will handle it carefully and (where required) obtain consent or rely on another lawful basis.

3) How we collect personal information

We collect personal information in a number of ways, including:

  • directly from you when you place orders, contact us, submit files, complete forms, or visit our website;
  • from your organisation (e.g., a photography business) if they place orders on your behalf;
  • from schools/clubs/photographers where they provide subject data for volume processing services;
  • from service providers involved in delivery, payments, website hosting, IT and business operations.

4) Why we collect, use and disclose personal information

We collect, use and disclose personal information for purposes such as:

  • processing and fulfilling orders (production, quality control, packaging, dispatch, and delivery);
  • providing services you request (including scanning and processing services);
  • communicating with you about orders, proofs (where used), changes, and support requests;
  • invoicing, taking payments, managing accounts, and fraud prevention;
  • handling claims, returns/replacements, and quality issues in line with our Terms & Conditions;
  • complying with legal obligations and responding to lawful requests; and
  • marketing (see section 9).

5) Who we disclose personal information to

We may disclose personal information to trusted third parties where needed to run our business and deliver services, including:

  • delivery and logistics providers (carriers/couriers) to deliver your goods and provide tracking;
  • payment providers to process payments (we do not need or want to store full card details);
  • software and IT providers (order platforms, file transfer systems, cloud storage, backups, security services, and support tools);
  • professional advisers such as accountants, insurers, and legal advisers (where necessary); and
  • suppliers/subcontractors involved in specialised production steps (only where needed to fulfil your order).

Where we use service providers, we take reasonable steps to ensure they handle personal information appropriately.

6) Confidentiality of client images and work

Client images and production work are treated as confidential. We do not reproduce or use client work for any purpose outside fulfilling the order without the client’s consent (consistent with our Terms & Conditions).

7) Overseas disclosure

Some of our IT and cloud service providers (and their support teams) may store or process data outside Australia. Where this occurs, overseas locations may include the United States and other countries where our service providers operate or maintain data centres/support. Our privacy policy includes overseas disclosure information because that is specifically expected to be addressed in privacy policies.

8) Keeping personal information secure

We take reasonable technical and organisational steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure (for example, access controls, secure systems, and staff confidentiality obligations).

If we become aware of an eligible data breach that is likely to result in serious harm (and the relevant law applies), we will take steps consistent with the Notifiable Data Breaches scheme, including notifying affected individuals and the OAIC where required.

9) Marketing communications and opt-out

We may send marketing communications where permitted (for example, product updates, service announcements, or promotions). You can opt out of non-essential marketing at any time using the unsubscribe option (where provided) or by contacting us.

Even if you opt out of marketing, we may still send essential communications relating to orders, service notices, or account administration.

10) Website cookies and analytics

Our website may use cookies and analytics tools to:

  • remember preferences,
  • understand how visitors use the site,
  • improve performance and user experience.

These tools may collect technical information like IP address, browser type, pages visited, and approximate location (based on IP). You can usually manage cookies via your browser settings, but some site functions may be affected.

11) Accessing and correcting your personal information

You may request access to the personal information we hold about you and request corrections if you believe it is inaccurate, out of date, incomplete, irrelevant or misleading. Privacy policies are expected to explain how to do this.

To request access or correction, contact our Privacy Contact using the details in section 14. We may need to verify your identity before releasing or updating information.

If your information was provided to us by a photographer/school/club (e.g., for volume processing), the fastest path may be to contact that organisation first; we’ll assist where we can.

12) How long we keep personal information

We keep personal information only for as long as needed to fulfil orders and provide services, manage warranties/claims, meet legal and accounting requirements, and resolve disputes. When no longer required, we take reasonable steps to delete, destroy or de-identify it where appropriate.

13) Privacy complaints

If you believe we have mishandled your personal information, please contact us first with details of your complaint and what outcome you want. We will aim to respond within a reasonable timeframe.

If you are not satisfied with our response, or we do not respond within 30 days, you may be able to lodge a written complaint with the Office of the Australian Information Commissioner (OAIC).
